2. Scope of This Policy

This Privacy Policy applies to:

7. Sharing Your Personal Information

7.2 Ricoma International

As the South African authorised distributor of Ricoma machines, we may share limited personal information (such as machine serial numbers and contact details) with Ricoma’s international head office for purposes of warranty registration, product support, and compliance with our distributor agreement. Where such sharing involves cross-border transfer, it is done in accordance with Section 8 of this Policy.

7.3 Legal Requirements

We may disclose your personal information where we are required to do so by law, court order, regulatory authority, or to protect the rights, property, or safety of Ricoma South Africa, our customers, or the public.

7.4 Business Transfers

Ricoma South Africa serves clients across Sub-Saharan Africa. Where we transfer personal information outside the borders of the Republic of South Africa, we will only do so if:

  • You have consented to the transfer;

  • The transfer is for your benefit and it is not reasonably practicable to obtain your consent, and if it were, you would likely consent.

We take reasonable steps to ensure that cross-border transfers comply with Section 72 of POPIA and that your personal information remains protected to the standards required by South African law.

9. How Long We Keep Your Personal Information

We retain personal information only for as long as is necessary to fulfil the purposes for which it was collected, or as required by law. Specific retention periods include:

  • Customer transaction records: 5 years from the date of the transaction (in accordance with the South African Companies Act and SARS requirements);
  • Warranty and machine service records: for the duration of the warranty period plus 2 years;
  • Website analytics data: up to 24 months on a rolling basis;
  • Enquiry and correspondence records: 3 years from last contact.

When personal information is no longer required, we will securely destroy, delete, or de-identify it in accordance with POPIA.

  • Right to erasure / deletion: You may request the deletion of your personal information where it is no longer necessary for the purpose collected, subject to our legal obligations.

  • Right to withdraw consent: Where processing is based on your consent, you may withdraw that consent at any time without affecting the lawfulness of processing prior to withdrawal.
